Dispatcher – HVAC Service & Preventative Maintenance Base Salary: Up to $70,000 + Full Benefits Reports To: Service Manager
We are seeking a highly organized and customer-focused Dispatcher to join our growing HVAC Service & Preventative Maintenance team. What You’ll Do
- Schedule and dispatch HVAC technicians based on priority, location, skillset, and availability
- Adjust schedules throughout the day to accommodate emergencies, customer requests, and service changes
- Coordinate preventative maintenance visits and service calls to ensure timely response and high customer satisfaction
- Create, update, and close work orders within the service management system
- Communicate with customers regarding scheduling, service updates, and follow-up needs
- Provide technicians with job details, site access information, service history, and required documentation
- Track open work orders, return visits, warranty calls, and pending parts
- Support billing, documentation accuracy, and technician timekeeping
- Maintain accurate records and assist with service reporting and operational coordination
- 2–5 years of dispatching, service coordination, or administrative experience in HVAC, construction, or a related trade preferred
- Experience with dispatch/service software such as Jonas, XOI, or similar platforms
- Strong communication, multitasking, and organizational skills
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Basic understanding of HVAC/R terminology and service workflows preferred
- Ability to remain professional, organized, and customer-focused in a fast-paced environment
- Base salary up to $70,000 based on experience

Responsibilities
• Schedule and dispatch technicians based on skillset, priority, and availability
• Adjust schedules throughout the day for delays, emergencies, call-ins, or customer changes
• Optimize routes and workloads to improve response times and productivity
• Coordinate building access requirements and send appointment confirmations
• Create, update, and close work orders within the service management platform
• Ensure all job documentation is complete, including notes, photos, materials, and time entries
• Track open jobs, return visits, warranty calls, pending parts, and follow-up needs
• Receive and process service requests via phone, email, and customer portals
• Provide customers with updates, confirmations, and post-service follow-up communication
• Address routine customer concerns and escalate complex issues as needed
• Provide technicians with job details, site instructions, history, and required documentation
• Track technician status and progress throughout the workday
• Assist with purchasing requests, parts coordination, and scheduling return visits
• Maintain accurate filter and belt lists within maintenance agreement work orders
• Support technician compliance with documentation and timekeeping requirements
• Maintain accurate records in dispatch and CRM systems
• Support billing by verifying completed work, materials used, and labor hours
• Assist with warranty tracking, inventory coordination, and service reporting
