About the Job

This is a 10-month, full time continuing AFSCME staff
position. Bargaining unit consideration begins on August 5, 2026 and ends on August 12, 2026.

Work Environment: In-Person

The
Executive Office and Administrative Specialist for the Department of Psychology in the College of Education and Human Service Professions
(CEHSP) serves as the first point-of contact and assists with day-to-day operations for the department. The position also serves as the
Graduate Program Coordinator for the Master of Arts in Psychological Science (MAPS) program. The position supports the work of faculty,
Department Head, and Director of Graduate Studies. The Office/Administration Supervisor provides direct supervision of this
position.

Job Responsibilities:
Undergraduate Programs (5%)

  • Provide administrative support -
  • Data management and tracking
  • Maintain student records and facilitate completion of key forms
  • Graduate
    Programs (65%)

    • Assist the Director of Graduate Studies (DGS)
    • Correspond with prospective students about academic programs
      and admission requirements
    • Advise applicants to graduate program on completing application materials; provide information on
      application status
    • Coordinate the admissions process
    • Guide students through program, college, and university policies and
      procedures
    • Track and review student degree clearance and coordinate with DGS, faculty advisor, and Graduate Student Services &
      Progress (GSSP)
    • Schedule program meetings and take minutes
    • Create marketing materials, coordinate advertising, and host
      recruitment events
    • Generate data reports based on program needs (e.g., awards/fellowships, student progress reviews, graduating
      with honors, GPA, time limits, degree plans)
  • Department and Department Head Support (15%)
    • Provide administrative
      and logistical support for department, program, and governance meetings
    • Provide administrative support for the Department Head
    • Update and maintain departmental web pages
    • Update signage and directories for departmental offices
    • Order and
      maintain records of keys
    • Facilitate work orders with Facilities Management
    • Schedule and coordinate meetings, and prepare
      and distribute accurate meeting minutes. - Draft and prepare departmental correspondence
    • Assist with event planning
  • Office Management (15%)
    • Answers questions about the department from in-person visitors, by telephone, and via
      email
    • Facilitate equipment checkout
    • Provide first-level technical support for department faculty
    • Purchase office
      supplies
    • Supervise student employees
    • Maintain departmental bulletin boards and display cases
    • Handle departmental
      mail
    • Design, maintain and update department websites and social media
    • Other duties as assigned

    Please note, this
    position is not eligible for H-1B or Green Card sponsorship. This position does not offer a STEM OPT training
    program.

    Qualifications

    Required Qualifications:

    • High School Diploma/GED or at least
      four years of related office experience. Training/education may be substituted for some of the years of experience.
      Computer experience
      required.
    • Experience working with G Suite (e.g., Gmail, Google Calendar, Drive)
    • Strong written and oral communication
      skills

    Preferred Qualifications:

    • Demonstrated ability to take initiative and work independently
    • Demonstrated ability to work effectively and collaboratively within groups
    • Demonstrated ability to prioritize tasks and
      meet deadlines
    • Experience working with Microsoft Excel and Word

    Range:
    $24.33 per hour - $25.79 per hour; depending on education/qualifications/experience
