The State of New Hampshire, Judicial Branch, Administrative Office of the Courts, has a Full-Time vacancy for Administrative Assistant II. This position is assigned to a 9 step pay scale. Hiring typically occurs within steps 1-5, depending on education and experience.

Summary : The Safety and Security Administrative Assistant position provides comprehensive administrative and operational support to the Court Security Department within the New Hampshire Judicial Branch. This position performs a wide variety of confidential administrative, financial, and program support functions that contribute to the effective operation of statewide court security initiatives and supports the Security Manager and staff in ensuring the efficient delivery of safety and security services for the branch.

Minimum Qualifications

Education and Experience: Graduation from high school or equivalent and five (5) years of experience in executive or administrative support in a government, judicial, law enforcement, public safety, or related field. Or, any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities.

Preferred Qualifications:

Working knowledge of security management systems, electronic access control systems, video surveillance systems (VSS), alarm systems, and credential management is desirable.

Knowledge, Skills, and Abilities:

  • Administrative support functions, records management, and document control.
  • Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Electronic document management systems and office technology.
  • Customer service principles and effective business communication practices.
  • Database management and data entry principles.
  • Using computer software and office technologies.
  • Interpersonal skills with the ability to establish and maintain effective working relationships.
  • Maintaining accurate records and databases with exceptional attention to detail.
  • Coordinating meetings, training events, purchasing activities, and departmental projects.
  • Exercise sound judgment, professionalism, and discretion when handling highly confidential personnel, financial, and security information.
  • Communicate effectively with individuals from diverse professional backgrounds.
  • Work independently with minimal supervision while effectively managing competing priorities.

Other Requirements:

Successful completion of a background check, including a criminal records check.

Responsibilities: Assists in the administration of department security technologies, including digital video management systems, electronic access control systems, alarm access, and security credential management. Coordinates requests for video surveillance system (VSS) footage, access cards, security reports, and other security-related records while ensuring compliance with Judicial Branch policies and confidentiality requirements.

Supports purchasing and procurement activities by maintaining vendor and purchasing accounts, processing orders for equipment, and operational supplies, monitoring expenditures, and assisting with budget tracking and financial documentation for supervisory review.

Collects and maintains operational data and statistical reports related to security activities, including weapons confiscations, incidents, disruptions, threats, facility security concerns, arrests, use-of-force incidents, alarm activity, and other departmental performance metrics used to support management decision-making and operational planning.

Assists with the continuous improvement of departmental processes by identifying opportunities to streamline administrative workflows, improve efficiencies, and standardize procedures, including training administration, attendance tracking, timekeeping processes, and record management.

Provides administrative support to the Training Officer by maintaining training schedules, certification records, attendance documentation, and training databases.

Processes Employee Reimbursement Forms (ERFs) submitted by Court Security Officer Supervisors, verifies accuracy and completeness, coordinates required approvals, and forwards documentation for payroll and payment processing.

Serves as the primary administrative contact for the department by managing the shared email account, responding to inquiries received by telephone and email, directing requests to appropriate personnel, and providing professional customer service to Judicial Branch employees, law enforcement partners, vendors, and members of the public.

Coordinates closely with Payroll, Accounting, Information Technology, Human Resources, and other Judicial Branch departments to support specialized administrative functions, including the administration of the Court Security Officer timekeeping system (WhenToWork), technical support coordination, financial processes, and security technology support.

Regularly handles confidential personnel, financial, security, and operational information requiring the exercise of sound judgment, discretion, professionalism, and strict adherence to Judicial Branch policies governing confidentiality and records management.
