Department: Office of the President
Reports To: Executive Administrator / Chief of Staff
Schedule: Monday-Friday, 9:00 a.m.-5:00
p.m.; primarily onsite. Evening and weekend availability is required for designated College events and executive-office needs. Any
remote-work arrangement is subject to approval and operational needs.

Compensation Range: $70,000-$82,000 annually
Compensation Note: Starting salary will be
determined in accordance with the successful candidate's education level, relevant experience, internal salary equity, and applicable
College compensation practices.
Position Summary
The Executive Assistant in the Office of the President provides high-level,
executive-caliber administrative and operational support to the President's Office, working in close partnership with the Executive
Administrator/Chief of Staff. The position supports the President, Executive Administrator/Chief of Staff, and Vice President of
Communications and External Affairs and serves as an important point of coordination for senior leadership, trustees, employees, community
partners, and external stakeholders.
This role requires a polished, discreet, highly organized professional who is comfortable
operating in a fast-paced executive environment. The successful candidate will demonstrate exceptional judgment, confidentiality,
responsiveness, attention to detail, and advanced proficiency with Microsoft Office. The position requires the ability to anticipate needs,
manage competing priorities, communicate professionally on behalf of the Office of the President, and follow assignments through to
completion.
Essential Duties and Responsibilities
Calendar & Executive Support
- Serve as primary calendar manager for the President and coordinate scheduling priorities for the Office of the President, using
advanced Outlook functionality to manage complex scheduling, recurring meetings, competing priorities, and real-time conflicts. - Meet
regularly with the Executive Administrator/Chief of Staff to align the President's calendar, priorities, meeting preparation, and
administrative needs. - Schedule and coordinate Zoom and Microsoft Teams meetings, including invitations, links, materials, and
related logistics. - Prepare and organize meeting materials, correspondence, briefing documents, presentations, and other
executive-office materials as requested. - Anticipate scheduling and logistical needs and proactively identify conflicts, deadlines,
and follow-up items. - Travel & Logistics
- Coordinate domestic and other approved travel arrangements for the President,
including air, train, ferry and ground transportation, lodging, conference registration, itineraries, and related
logistics. - Coordinate approved travel arrangements for Cabinet members and members of the Board of Trustees as
requested. - Prepare clear travel itineraries and ensure required documentation, reservations, and reimbursements are completed
accurately and timely. - Governance & Special Projects
- Support the Executive Administrator/Chief of Staff with Board of
Trustees activities, including meeting logistics, materials preparation, correspondence, records coordination, and follow-up. - Assist
with confidential and time-sensitive special projects on behalf of the President and Executive Administrator/Chief of Staff. - Serve
on College committees and assist with college-wide and presidential events, representing the Office of the President with professionalism
and discretion. - Track assignments and action items originating from the President's Office and follow up with appropriate
stakeholders as directed. - Financial & Administrative Operations
- Prepare and submit the President's monthly credit-card
documentation and expenses to Finance accurately and on schedule. - Process reimbursements, invoices, purchase-related documentation,
and other administrative transactions; follow through to timely resolution. - Maintain organized and secure electronic filing and
records-management systems for the Office of the President. - Manage incoming and outgoing telephone communications and correspondence
with professionalism appropriate to the President's Office. - Order and track office supplies and coordinate other routine office
operational needs. - Perform other related duties and special assignments as required.
Requirements:
Qualifications
- Minimum education: Associate degree and five (5) years of
progressively responsible high-level administrative or executive support experience, preferably supporting a president, CEO, cabinet-level
leader, or other senior executive. - Demonstrated experience managing complex executive calendars, confidential information, travel,
meeting logistics, correspondence, and competing priorities. - Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint,
Teams, and related digital collaboration and records-management tools. - Exceptional written and verbal communication skills,
including the ability to prepare polished, professional materials. - Demonstrated discretion, sound judgment, professionalism,
initiative, and ability to work effectively with confidential and sensitive information. - An equivalent combination of education,
training, and relevant experience will be considered.
Preferred Qualifications
- Bachelor's
degree. - Executive support experience in higher education, government, a public institution, nonprofit organization, or similarly
complex environment. - Experience supporting boards, senior leadership teams, public officials, or high-level external
stakeholders.
