We are seeking a top-tier Executive Assistant to serve as the true right-hand partner to a Managing Director of Corporate Engagement at a leading global environmental non-profit organization.
In this dynamic, high-impact role, you will act as a critical operational pillar—protecting executive time, managing complex fluid schedules across multiple time zones, and keeping executive communications seamlessly prioritized. - Work Schedule: 35 hours/week standard (9:00 AM – 5:00 PM EST), with flex up to 40 hours during peak periods.
- Tech Provided: Dedicated company laptop equipped for remote success.
- Key Requirement: Full availability with no time off during peak event support from September 18th–25th (New York Climate Week prep and execution).

Responsibilities
- Executive Calendar & Time Protection: Strategically manage complex, high-volume calendars across multiple time zones. Act as an assertive gatekeeper, evaluating incoming requests and pushing back to protect the Managing Director’s priorities.
- Inbox Triaging & Workflow Management: Triage, prioritize, and comb through heavy email streams to identify urgent action items, organize executive review tasks, and draft responses.
- Travel & Conference Logistics: Coordinate end-to-end travel arrangements (flights, hotels, fluid itineraries) and manage conference participation and registrations for the Managing Director and two secondary team members.
- High-Demand Event Support: Provide intensive logistical and schedule management during critical crunch periods—specifically leading up to and during New York Climate Week (Sept 18–25).
- Administrative Operations: Complete weekly timesheets, track expense reports, organize internal/external meeting agendas, and utilize MS Office (Word, Excel, PowerPoint), Workday, and Copilot tools to maintain operational efficiency.
